You can create different users within Plug&Pay. This allows you to collaborate securely, and protect specific components from certain users.

Role management is part of Plug&Pay Premium & Ultimate.
Do you use Plug&Pay Lite? Upgrade to Premium or Ultimate to use this feature.

Adding a User

To give a new user access to your environment, navigate to Settings > Administration > Users.

You will see an overview of all users who have access to your environment. Click Add User here.

Enter the name and email address of the person you want to invite. Also choose the user role for this new user. More information about what the different roles entail can be found via the Role Overview button and in this article, under User Roles Explained. Click Invite to send the invitation.

โ„น๏ธ You can combine multiple roles: give a user both the Marketing and Finance role, for example, when they are allowed to create products and manage subscriptions.

You always have the option to resend an invitation, in case the invited person did not accept it in time, or to cancel the invitation. You do this by clicking on the three dots next to the invited user in the user overview and selecting the desired action.

Managing Users

If you want to change the role of your users or remove a user, navigate to the user overview in Settings > Administration > Users. There, click on the three dots next to the user you want to edit and choose Edit to change the user role, or Remove User to revoke their access to your site.

User Roles Explained

Below you will find an overview of all user roles within Plug&Pay and the associated permissions.

Site Owner

The site owner is the user who created the Plug&Pay environment. There can only ever be one site owner. The site owner can choose to transfer ownership of a Plug&Pay site to a user with the Admin role, via Settings > Administration > Users > Three dots > Transfer site ownership.

Admin

An admin has all rights within Plug&Pay and can therefore view, edit and delete all components.

Support

A user with the support role can view orders, but cannot make changes. Support users cannot view products, checkouts and pages. This role is intended for someone who needs to have access to your administration, for example because they are in customer service.

Do you have a customer service representative or VA who also creates or modifies orders? The finance role may be appropriate.

Someone with the support role can:

  • View orders

  • Send PDF invoice emails

  • View subscriptions

  • View instalment payments

  • View the affiliate system, including commissions, affiliates, payment runs, and all general affiliate settings and reviews that are created.

Marketing

The marketing role is intended for users who build funnels, but should not see or adjust orders, or other settings in your environment.

Someone with the marketing role can:

  • View, change, add and remove the following components: products, checkouts, upsells, integrations, confirmation pages, landing pages, forms, A/B tests, discount codes, exit intents and files in the media library.

  • View commissions in the affiliate system and view, accept and reject new affiliates. The general settings of the affiliate system can be viewed, and the promotional links, integrations and content for the Marketplace can be changed.

Finance

Someone with the finance role can change details of orders, subscriptions and instalment payments. This role is often used for finance support or VAs.

Someone with the finance role can:

  • View, change and add orders, download and email PDF invoices

  • View, change, add and delete subscriptions

  • View, change, add and delete instalment payments

  • View products (but not modify, create or delete them)

  • View, change, add and delete discount codes

  • View, approve, delete and add commissions in the affiliate system. Also view affiliates, past payment runs and create new payment runs.

Data analyst

A data analyst can view your Plug&Pay orders and statistics, but cannot make changes.

Someone with the Data analyst role can:

  • View orders

  • View subscriptions

  • View instalment payments

  • View products, checkouts, integrations, upsells, confirmation pages, landing pages, forms, A/B tests, discount codes and exit intents.

  • View statistics
