Changing an Existing Subscription

How do you change the contents of a customer's subscription?

On this page you will learn how to change a subscription for an existing customer.


When do I change a subscription?

A subscription can need changing at various moments. For example:

  • A customer wants to change their details

  • A customer wants to switch from a monthly to an annual subscription

  • You want to change the price of a specific subscription for the customer

For both your own administration and that of your customers, it is important to have a good overview and to have these changes to the data correctly recorded.


How do I change a subscription?

To change a subscription, go via the admin on Plug&Pay to Sales > Subscriptions.

Here you will find a list of all active subscriptions for your business.

With the filter function on the right in the dashboard with your subscriptions, you can navigate through this list of active subscriptions. You can look up the relevant customer by name, subscription number or email address.

You can also request an export in .xlsx or .csv.

To get an overview of the details of the subscription you have looked up, click on the subscription number. Here you will find all the details about the customers whose subscription you want to change.

Here you can adjust the general customer details, change the direct debit date, change the payment details, adjust the contents of the current subscription and view the orders linked to the subscription.


Changing customer details

You adjust your customers' details under the Customer details section. Very handy if, for example, you need to process an address change.


Changing the payment method

If you want to change the customer's account number, you can do that under the Payment method heading.


Changing the subscription contents

Under Subscription you change the type of subscription. Think for example of a switch from a monthly to an annual subscription or a different type of subscription. You can even change the price here.

An action discount is incorporated into the price settings of the subscription and a promo discount is via a discount code. If you manually change the price and add a discount, in principle it doesn't matter which one you use - there is no difference on the invoice. The discount is deducted from the price :-)


Changing the direct debit date, deactivating or immediately cancelling the subscription

Under Status (see also the screenshot below), you indicate what the status of the subscription is. Here you can for example change, deactivate or cancel the subscription.

At status 'Active' you can see what the next direct debit date is. On that day the next instalment of this customer will be collected! The collection of the next instalment is fully automatic and you don't need to do anything! Do you want to change the direct debit date of a subscription? Then you can change the next direct debit date via Status > Active:

Do you want to cancel from a specific date? Then you can enter the end date under Status > Cancelled and enter the reason for cancellation.

If no more direct debits need to be executed, you can set this. Do you want to cancel the subscription in three months for example, but should it still be collected twice? You can leave that set.

Do you want a subscription to immediately end? This can be done via Status > Ended. You can then immediately enter a reason for cancellation.


Viewing orders linked to a subscription

Under 'Orders' you will find all orders and information about and the associated invoices. Click on the PDF icon on the right to navigate to the invoice, or on the number to navigate to the relevant order.

Under 'Activity' you can add notes. For example, you can indicate that you changed the direct debit date because the customer was temporarily unable to pay.

This way you always have all your administration in your own hands and your customer details are always up to date!
